1. Who we are and when we might collect data or information about you.

This privacy policy relates to the information collected by Flowers for Florists Ltd. (registered address: Endeavour House, 78 Stafford Road, Wallington, SM6 9AY; UK Company number 11157521). It relates to the data collected either by our website flowersforflorists.co.uk or any other websites we might run from time to time. It also relates to data we might collect as part of our normal business with you.
We will only collect data or information about you as part of our normal business as a wholesaler of cut flowers, florist sundries and flower arrangements. We will only collect data or information about you in order to provide you with a high quality of service, to allow us to keep you in touch regarding special offers we might have, new products we have in stock, items you have reserved etc.

2. The type of data and information we might collect and store.

We might collect the following types of information about you:

Name, address or delivery addresses, phone numbers, email addresses, your company’s website address. Information about the type of business you operate, or whether you are buying on behalf of a church or club etc.  Information about flowers or sundries you may have ordered in the past, information about flowers and sundries you would like us to buy or reserve for you.  You might have told us about spending limits or periods when you might spend more or less with us.  We might keep all emails and correspondence sent between us.

3. The reasons why we might collect or store your data or information.

The main reason we might collect or store your data or information is in order that we can provide you with the highest possible service and achieve the highest level of customer satisfaction from you.

We might simply be using the information to be able to make a delivery to you or on your behalf.  Or simply so that we can get in touch with you to update you on something that is in or out of stock. Or to alert you that products you have been expecting have arrived.

We might also use this data or information to keep you in touch with offers or events that we think might be of interest to you.

We might use the data or information to monitor your spending habits in order to spot trends or areas of concern in order to make us a better supplier to you.

We might also keep information about items you have asked to be kept in touch about. We might also have our own lists of things we think you might be interested in or might wish to buy from us.

We might use your data or information as part of aggregated data models to monitor buying patterns and to manage our supply chain e.g. if we can see that we always sell out of Product X in June, we will order extra in April or May.

From time to time we might use your data or information to ask you questions about our products or services in order to improve them.

Over time we might think of other ways that we have not listed here by which we can improve our service to you using your data or information. If that happens we will always update this policy and tell you when we have.

In short, we will only use this data or information in order to help us be a better supplier to you.

4. How we will store your data and information and who will have access to it

We will store this data on our own computers on our private local area network. Our computers are only accessible to our staff. From time to time we will back up all our data using commercially available and reputable cloud back up facilities, such as Microsoft One Drive, Dropbox or Google Drive.
Nobody outside Flowers for Florists Ltd. management and staff will have access to your data and information that is stored on our computers or network.
We might also store some of your data or information on paper in our office. For example, when you give us an order we will most likely initially write the information down on an order pad. There is a chance that another customer might see your name or address and what you have ordered on an order pad either while or after it has been written. This is hard for us to manage and prevent, however we can assure you that we will try not to let your information be seen.

5. With whom we might share your data and why.

WE WILL NEVER SHARE YOUR DATA WITH THIRD PARTIES EXCEPT WHEN YOU HAVE ASKED US TO. For example, you might ask us to deliver a package to you and we might use a courier service to deliver to you. In this instance we will obviously need to give them your address, so they can make your delivery.

6. Use of Cookies

Our website has been built using the latest technology and in order to ensure that it loads as quickly as possible and operates in an optimum fashion for you the website might ask to leave a “cookie” or an equivalent token on your machine. If this happens it is only to improve the functioning of the website and to make it easier to use. Flowers for Florists Ltd. is not using theses Cookies or Tokens for any commercial reason, it is not monitoring your browsing activity or changing the functionality of the site based on who the viewer is.
From time to time we might however monitor website usage in order to understand which parts of the site are used by our customers and which are not, i.e. only to improve our service to you.

7. Your ability to review, update and/or delete your data.

You are free to ask to review any and all data we might hold on you. You can ask us to update, amend or delete any data we hold about you. We will do this unless there is a legal reason why we cannot. (For example, we have a duty to keep all our invoice and transaction data.)
From time to time we might contact you to ask whether you wish us to keep you in our records or to ask you to confirm that we have the correct information for you.
